Ideals Group (“Ideals”, “we”, “us” or “our”) are committed to protecting your privacy. This Privacy Notice explains how we collect, use, and share personal data when you visit our website or apply for a job with us. It applies to Ideals operations in multiple jurisdictions, including but not limited to the United Kingdom, the United States, Ukraine, Brazil, Spain, China, Hong Kong, Switzerland, Poland, Germany, and Australia. We handle Personal information in accordance with applicable privacy laws worldwide, such as the European Union and UK General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), Brazil’s Lei Geral de Proteção de Dados (LGPD), China’s Personal Information Protection Law (PIPL), and other relevant laws.
- Scope
This Privacy Notice covers two main categories of individuals: (1) visitors and users of our website (including anyone who contacts us through the site), and (2) job applicants and candidates (including those who apply directly on our site, those who are referred or apply through third-party services, and individuals whom we may contact for potential job opportunities). By using our website or submitting an application, you acknowledge that you have read and understood this Privacy Notice.
- What personal information we collect
We may collect various types of personal data (“Personal information”) about you. The specific information we collect depends on how you interact with us – for example, whether you are just browsing our site or applying for a position. Below are the categories of personal data we typically collect:
- Information you provide directly: when you apply for a job or fill out forms on our website, you provide us with personal data. This may include your name, contact details (such as email address, telephone number, and city/country), resume/CV information (employment history, education, qualifications, skills), cover letters or messages, and any other details you choose to share. For example, as a job applicant you might provide your professional experience, references, salary expectations, availability, and other information relevant to recruitment. You may also provide information when contacting us with questions or inquiries via web forms or email (such as your name, contact information, and the content of your inquiry).
- Recruitment-related information: if you are a candidate for hiring, we might collect additional data as part of the recruitment process. This can include interview records or notes, assessment or test results, and communications with you. For instance, we may record or transcribe interview sessions (we will notify you beforehand if an interview is being recorded), and we may retain notes on your qualifications, motivation, and interests related to the job. We do not generally require sensitive personal data in applications (such as information about your health, race, religious beliefs, or biometric data) and we ask that you avoid including such details unless necessary. If you voluntarily provide any sensitive information, we will handle it in accordance with applicable law and only use it for the limited purpose for which you provided it (for example, accommodating a disability or meeting legal obligations).
- Information from Third Parties: we may receive personal data about you from other sources. If you were referred to us by a recruitment agency or job search platform, or if we found your professional profile on a public platform (such as LinkedIn or a job board), we might obtain basic information from those third parties. This could include your contact information, work experience, skills, or public profile details. We may also collect feedback or references from former employers or colleagues with your consent during the recruitment process. Additionally, if we conduct background checks (where lawful and with your authorization), we will receive relevant information from background check providers.
- Device and usage information: when you visit our website, we collect some information automatically about your device and how you use the site. This includes your IP address, browser type, device type (e.g. mobile or desktop), operating system, date and time of visits, pages viewed, the page that led you to our site (referring URL), and interactions with our site content. We collect this information through cookies and similar tracking technologies (described in the “Cookies and Similar Technologies” section below). This data helps us understand how our website is used and ensure it functions properly.
- Cookies and tracking data: our website uses cookies, web beacons, and similar technologies to collect information about your browsing activities. Cookies are small text files stored on your browser that allow us to recognize your device and remember certain information. They help with site functionality (like keeping you logged in or remembering preferences) and with analytics (to improve our services and understand user engagement). Note: The personal data we collect is limited to what is relevant for the purposes described in this Notice. If information is required by law or necessary to enter into a contract (for example, proof of your legal work authorization for a job, or identity information to verify your application), we will inform you at the time of collection. If you choose not to provide certain information, it may affect our ability to provide the service or consider you for hiring in some cases.
- How we use your personal information
We use the personal data we collect for a variety of legitimate business purposes related to operating our website, running our recruitment processes, and communicating with you. In particular, we may use your information for the following purposes:
- Providing and improving our website: we process usage and device data to present our website content to you, maintain the security and performance of our site, debug and fix errors, and improve your user experience. This includes using analytics to understand how users navigate our pages, so we can optimize design and content.
- Processing job applications and recruitment: if you apply for a position or are being considered as a candidate, we use your information to evaluate your qualifications and suitability for hiring with Ideals. This includes reviewing your CV/resume and application materials, arranging and conducting interviews (including video or phone interviews), assessing results from any tests or assignments, and making hiring decisions. We will use your contact details to communicate with you throughout the recruitment process – for example, to schedule interviews, request additional information, send you updates on your application status, or extend a job offer. Your data helps us ensure a fair and efficient recruiting process and to select qualified candidates.
- Considering candidates for future opportunities: with your permission (where required by law), we may retain your application information to inform you of or consider you for future job openings at Ideals that may be a good match. If you are not selected for a role you applied to, we might keep your resume on file for a period of time so we can reach out about other opportunities, unless you tell us you do not want this. We will obtain your consent for this where required. You always have the option to object to or opt out of further contact regarding job opportunities beyond the position you applied for.
- Communicating and responding to inquiries: we use personal data to respond to your questions, requests, or feedback. For example, if you submit an inquiry via a contact form or email, we will use your contact information to reply and the content of your request to address your needs. We may also send you informational communications about Ideals, such as updates about our company, our services, or career opportunities, if you have requested or subscribed to such updates. You can unsubscribe from optional communications at any time.
- Operating our business and services: we may use data for the general administration of our business operations. This includes maintaining internal records, ensuring IT systems and data are secure, managing our workforce and recruiting pipeline, and otherwise running the day-to-day operations of Ideals. For instance, we might use certain data to compile statistical reports (e.g. hiring metrics or website traffic analytics) for internal use, or to train our recruiting team and improve our hiring strategies.
- Personalization and user experience: for website users, we may use data about your visits and preferences to personalize your experience on our site. For example, remembering your language preference or showing relevant job postings based on your location or previously viewed jobs. We also use cookies to remember choices you make (see Cookies section).
- Legal and compliance purposes: we process Personal information as necessary to comply with our legal obligations and to protect our legal rights. This includes using data to perform checks required by law before hiring (such as verifying your identity, qualifications, and right to work in a given country), to meet record-keeping and reporting requirements (for example, maintaining hiring records for equal opportunity monitoring or tax purposes), and to respond to lawful requests by public authorities (such as court orders, subpoenas, or regulatory inquiries). We may also use or disclose information if needed to protect the rights, property, or safety of Ideals, our employees and applicants, or others – for example, detecting or preventing fraud, security incidents, or other harmful activity.
- Other specific purposes: in some cases, we may ask for your consent to use your data for a purpose that is not already covered by another legal basis. For instance, if we ever want to use your photo or success story on our website or marketing (we would ask your permission), or if we want to send you marketing communications unrelated to job opportunities. If we rely on consent, you have the right to withdraw that consent at any time, and we will stop the processing in question. Note that withdrawing consent will not affect any processing that has already occurred.
We will only use your Personal information for the purposes for which we collected it, unless we reasonably consider that we need to use it for a related purpose that is compatible with the original intent (and where permitted by law). If we need to use your Personal information for an unrelated purpose, we will notify you and explain the legal basis that allows us to do so.
- Lawful basis for processing
When we process personal data about individuals in certain jurisdictions (such as the European Economic Area, the UK, Brazil, and others that require a legal justification for processing), we rely on one or more of the following lawful bases:
- Performance of a contract: in many cases, our processing of your data is necessary to take steps at your request prior to entering into a contract, or to fulfill a contract with you. For example, when you apply for a job, the processing of your application data is necessary in order to potentially enter into a contract with you. Likewise, if you use our website to request information or services, we process your data to provide those services or information.
- Legitimate interests: we process certain data as needed for our legitimate business interests, and in ways that are not overridden by your data-protection rights. This legal basis covers a broad range of our processing activities. For instance, it is in our legitimate interest to ensure our recruitment process is effective and to hire qualified candidates; to operate and secure our website and business; to communicate with applicants and improve the candidate experience; and to conduct and grow our business. We only rely on legitimate interests after considering any potential impact on your rights and freedoms. You have the right to object to processing based on our legitimate interests in certain cases (see “Your Rights” below).
- Legal obligation: some processing is necessary for us to comply with a legal or regulatory obligation. For example, we may need to retain certain records to meet employment laws or financial reporting requirements, or to provide information if formally required by government authorities. If we collect data such as your citizenship or work authorization status, this may be to satisfy immigration/employment laws. We will not delete personal data that we are required to keep by law, even if you request erasure, for as long as the law mandates retention.
- Consent: we will rely on your consent in situations where we are required to obtain it or where we choose to obtain it out of courtesy or precaution. For instance, in some jurisdictions, privacy laws (like GDPR, LGPD, or PIPL) may require us to get your consent to collect certain types of data or to send certain communications. Additionally, if your application is unsuccessful, we might ask for your consent to retain your CV for future openings (as described above). Another example is our use of non-essential cookies on the website – we will seek your consent where required before placing such cookies on your device. When we rely on consent, you can withdraw it at any time. If you do withdraw consent, we will stop the processing that was based on consent, but any processing already carried out remains lawful.
Note: In some jurisdictions, we may process personal data under additional legal bases recognized by local law, such as vital interests (emergencies) or public interest. These cases are rare and typically not applicable to the day-to-day processing described in this Notice.
- Who we share your personal information with
We treat your Personal information with care and confidentiality. We do not sell or rent your Personal information to third parties for their own marketing purposes. However, in the course of running our operations and recruiting activities, we may share your information with the following parties, for the purposes outlined in this Notice:
- Ideals Group: as a global company, Ideals may share personal data internally among our affiliated companies and offices in the jurisdictions mentioned above. For example, if you apply for a job in one country, another Ideals entity in a different country might need to access your information if they provide support in the hiring process or if there are other suitable positions within the group. All Ideals entities will handle your data in accordance with this Privacy Notice and our binding internal policies. Access to candidate information within the group is on a need-to-know basis and only for the purposes described (such as evaluating you for a role or contacting you about an opportunity).
- Service providers (processors): we use trusted third-party service providers to perform certain functions on our behalf, and we may disclose personal data to them as necessary for those services. These providers include, for example: applicant tracking systems or recruitment software providers (to manage job applications and candidate communications); assessment or video-interview platforms (to facilitate online tests or interviews); background check agencies (to verify credentials or conduct permitted screenings, with your authorization); email and communications tools (to send out notifications or schedule meetings); and IT support and security service providers. When we share data with service providers, they are contractually obligated to protect it, use it only for our specified purposes, and comply with applicable data protection laws. We do not allow our service providers to use your data for their own marketing or other independent uses.
- Third-party recruiters or Job boards: if a recruitment agency, headhunter, or online job board is involved in your application or candidate referral, we may share relevant information back with them as needed. For instance, we might inform the recruiter about the status of your application or provide feedback, as appropriate. Similarly, if you applied through a third-party platform that integrates with our systems, some of your data might be stored both in our systems and the third-party’s system. We ensure that any such third parties are also subject to confidentiality and data protection obligations. (If you have come to us through a third-party service, we encourage you to review the privacy policies of that service as well.)
- Business partners: in general, our website is operated by Ideals, but we may work with third parties to provide certain site features. For example, we might use a third-party analytics provider (like Google Analytics) to help us understand website traffic, or third-party plugins to enhance user experience. These partners might collect or have access to limited data about your website usage through cookies or similar technologies on our site. Such information is typically aggregated or pseudonymized. Please refer to our Cookies section for more details on analytics and tracking.
- Legal and regulatory recipients: we may disclose personal data to government authorities, regulators, courts, or law enforcement if required to do so by law or legal process. For example, in response to a subpoena, court order, or other legitimate request, we will provide information as necessary to comply. We may also share information in order to establish, exercise, or defend our legal rights, or as evidence in litigation in which we are involved. Additionally, if necessary to protect the vital interests of an individual (for instance, in a medical emergency) or to protect the safety of our organization, personnel, or members of the public, we may share relevant information with appropriate authorities.
- Corporate transactions: if Ideals undergoes a business transaction such as a merger, acquisition, reorganization, or sale of some or all assets, personal data may be transferred to the successor entity or other relevant party as part of the transaction. If such a transfer occurs, the use of your Personal information will still be governed by the promises in this Privacy Notice (unless and until it is superseded by an updated notice communicated to you).
No sale of Personal information: we do not sell your Personal information to third parties. In other words, we do not exchange your data for money or other valuable consideration for independent use by any third party. This applies to all users globally, including residents of California (under the CCPA, we do not sell or share Personal information as those terms are defined by law). Should we ever need to share your information for purposes that would be considered a “sale” or “sharing for targeted advertising” under applicable law, we would only do so in compliance with that law and with proper notice and opportunity for you to opt out.
- International data transfer
Ideals is a global organization, and the personal data we collect may be transferred to, stored in, and processed in countries other than your own. In particular, information collected within the European Economic Area (EEA), the UK, or other regions may be transferred to Ideals Group or service providers in various countries, including the United States and other jurisdictions that may not have the same data protection laws as your home country. For example, if you are in the EU/UK and apply for a job, your data might be accessed by our recruitment team in the United States, or stored on servers located outside of the EU. Likewise, data from users or candidates in other regions might be transferred to or accessed by our European offices.
Regardless of where your Personal information is transferred, we take steps to ensure that your information remains protected to a standard that meets the requirements of applicable law. If you are located in a region with data transfer restrictions (such as the EEA, UK, or Switzerland), we will implement appropriate safeguards for cross-border transfers as required by those laws. These safeguards may include:
- Standard contractual clauses: we have intra-group data transfer agreements in place, incorporating the European Commission’s Standard Contractual Clauses (SCCs) or equivalent mechanisms, to cover transfer of personal data among Ideals entities globally. Our agreements contractually bind the recipients of the data to protect it according to the high standards of EU/UK data protection law, even when the data travels to a country that is not deemed “adequate” by the European Commission.
- Similar transfer mechanisms: where applicable for other jurisdictions (for example, Brazil or other countries), we use comparable contract terms or legal mechanisms approved for data transfers. In some cases, a destination country may be recognized as having adequate data protection by relevant authorities, which permits transfers.
- Encryption and Security: we utilize technical measures like encryption to protect data in transit across borders. When your data is transmitted between countries, it is safeguarded to prevent unauthorized access.
- Compliance with local requirements: if a particular transfer is subject to additional requirements under local law (for example, China’s PIPL may require certain assessments or governmental approvals for transferring Personal information abroad, or Brazil’s LGPD may require specific contractual clauses), we will ensure compliance with those requirements before proceeding with the transfer.
By providing your information to Ideals (for instance, by applying for a job or using our site), you acknowledge that your Personal information may be transferred internationally as described. We understand that international transfers can carry risk, so if you have questions about how we protect your data when it’s moved out of your country, please contact us. We can provide additional information on the safeguards in place for cross-border data transfers.
- Data retention
We will retain your Personal information only for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. In general, this means:
- Job applicants and candidates: if you apply for a position or we consider you for a role, we will retain your Personal information throughout the recruitment process. If you are hired, your information will be kept and further managed as part of your hiring record (you will receive a separate employee privacy notice at that time, where applicable). If you are not hired for the position, we may keep your application information on file for a period of time after the conclusion of the hiring process. This is so we can maintain a record of our recruitment activities and, where lawful, consider you for future opportunities. The length of time we keep candidate data can vary based on local laws and our internal policies. For example, in some jurisdictions we may need to keep recruitment records for a minimum period, or we may ask for your consent to retain your CV for future job openings for a specified duration. Typically, if you are not selected, we might retain your data for up to about 12–24 months (depending on the region and position) to consider you for other roles, unless you request deletion earlier. We will not retain outdated or irrelevant data longer than necessary. If you prefer that we do not contact you for future opportunities or want your information removed sooner, you can let us know at any time (see “Your Rights” below) and we will delete or anonymize your data, unless we are required to keep it for legal reasons.
- Website users and general inquiries: if you are not a job applicant but have contacted us through the website or interacted with us, we will keep your information for as long as needed to respond to you or provide the services you requested. Web server logs and analytics data are typically retained for a short period (often a few months up to a couple of years) for security and analysis purposes, then aggregated or deleted. Cookie data is retained according to the cookie’s set lifespan (see Cookies section) unless you clear those cookies or opt out.
- Legal retention requirements: in all cases, we may retain certain information for longer if required by law. For instance, if you are hired, some of your recruitment data (like proof of qualifications or identity) might need to be retained as part of your hiring record. Even for non-hired candidates or website users, there may be legal requirements to preserve some data (for example, to comply with labor laws, tax laws, or in anticipation of litigation). We also retain whatever information is necessary to enforce our agreements, resolve disputes, and protect our legal rights. However, we will limit access to such data to only the purposes for which it is retained.
When we no longer have a legitimate need or legal obligation to keep your Personal information, we will securely delete it or anonymize it so you can no longer be identified. If deletion or anonymization is not immediately feasible (for example, because the data is stored in secure archives or backup systems), we will isolate it from any further use until deletion is possible.
- Data security measures
We take the security of your Personal information seriously. Ideals has implemented a variety of technical and organizational measures to protect your information from unauthorized access, use, alteration, loss, or disclosure.
These measures include, for example:
- Secure systems and encryption: we store personal data on secure servers. For particularly sensitive data or transmissions, we use encryption (HTTPS/TLS) to protect data during transfer. This means information exchanged between your web browser and our website is encrypted in transit. We also employ encryption and access controls to protect data at rest in our databases where appropriate.
- Access controls: we limit access to Personal information to those employees, recruiters, and service providers who have a need to know it for the purposes described in this Notice. Those who handle personal data are subject to confidentiality obligations. We use password protection, multi-factor authentication, and principle of least privilege to ensure that access to data is appropriately restricted.
- Employee training and policies: our staff are trained on data privacy and security practices. We have internal policies and procedures that outline how personal data must be handled and protected.
- Monitoring and Testing: we utilize security tools to monitor our systems for potential vulnerabilities and unusual activities. Regular security assessments, vulnerability scans, and penetration testing of our networks and applications are performed to proactively identify and address weaknesses.
- Vendor Due Diligence: when we engage third-party service providers to handle personal data on our behalf, we carefully evaluate their security practices. We require our vendors to adhere to adequate data protection standards and we include specific data protection and security commitments in our contracts with them.
While we strive to protect your information, please note that no method of transmission over the Internet or method of electronic storage is 100% secure. We maintain and continually improve our security measures to adapt to evolving threats, but we cannot guarantee absolute security of data. In the unlikely event of a data breach that poses a significant risk to your rights, we will inform you and the relevant authorities as required by law.
- Your privacy rights
You have certain rights and choices regarding your Personal information. These rights may vary depending on your jurisdiction and the applicable privacy laws, but we are committed to honoring the rights that apply to you. Below is a summary of rights that individuals may have under various data protection laws:
- Right to Access: you can request confirmation of whether we are processing your Personal information, and if so, ask for a copy of the data we hold about you. This allows you to know and review the information we have collected about you. In many jurisdictions (such as EU, UK, Brazil, etc.), this is a legally guaranteed right. We will provide the requested information, except in certain situations where we may be prevented from doing so by law or if the request is manifestly unfounded or excessive.
- Right to Rectification: if any of your Personal information is inaccurate or incomplete, you have the right to request that we correct or update it. We encourage you to keep your information up-to-date and will honor legitimate requests to fix any errors in the data we hold.
- Right to Deletion: you have the right to request the deletion or erasure of your Personal information in certain circumstances. This is sometimes called the “right to be forgotten.” For example, if the data we collected is no longer necessary for the original purpose, or if you withdraw consent (where consent was the legal basis) and we have no other lawful basis to continue processing, you can ask that we erase your information. We will comply with deletion requests as required by applicable law. Please note that we might need to retain certain information if required for legal obligations or other exceptions – if so, we will inform you.
- Right to Restrict Processing: you can ask us to limit or “pause” the processing of your Personal information in specific situations. For instance, if you contest the accuracy of the data or have objected to our processing (see below), you might want to restrict processing while the issue is resolved. When processing is restricted, we will still store your information but will not use it for certain purposes until the restriction is lifted.
- Right to Object: you have the right to object to our processing of your Personal information when such processing is based on a legitimate interest (or public interest) and you have a particular situation which makes you want to object. You also have the right to object at any time to processing of your Personal information for direct marketing purposes. If you object, we will consider your request and stop or adjust the processing unless we have compelling legitimate grounds to continue that do not override your rights, or if the processing is needed for legal claims. In the context of recruitment, you might object to our keeping your data for future opportunities – we will honor such requests (subject to any legal obligations to retain data).
- Right to Data Portability: in jurisdictions that provide this right (such as under GDPR and LGPD), you can request to receive a copy of certain personal data in a common machine-readable format, and to have that information transmitted to another organization in some cases. This right typically applies to information you provided to us, which we process by automated means, and which we process based on your consent or a contract with you. For example, you could ask us for an electronic copy of the data you provided in your job application, to reuse that data elsewhere.
- Right to Withdraw Consent: if we are processing your Personal information based on your consent, you have the right to withdraw that consent at any time. For example, if you consented to let us keep your resume on file for future job openings, or you consented to certain cookies, or to receive a newsletter, you can later withdraw that consent. This will not affect the lawfulness of any processing done before the withdrawal, but it will mean we stop the processing going forward. To withdraw consent, you can contact us or, for things like marketing emails, use the unsubscribe link provided.
- Additional rights for Specific Jurisdictions: depending on where you live, you may have some additional privacy rights:
- California residents: in addition to the rights above, California law (CCPA/CPRA) gives you the right to opt-out of the sale or sharing of your Personal information (as mentioned, Ideals does not sell personal data, but we still honor Do Not Sell requests), the right to not be subject to discriminatory treatment for exercising your privacy rights, and the right to limit the use of sensitive Personal information (although we do not use sensitive information for purposes that would trigger this right except as allowed by law). California residents can also designate an authorized agent to make requests on their behalf. We will need to verify any requests from you (or your agent) to ensure they are legitimate.
- EU/UK residents: you have the right to lodge a complaint with your local Data Protection Authority (DPA) or supervisory authority if you believe we have infringed your data protection rights. We would, however, appreciate the chance to address your concerns directly before you do so – so please feel free to contact us with any issues and we will do our best to resolve them.
- Other regions: similarly, individuals in other jurisdictions (for example, Brazil or Australia) have the right to contact their applicable regulatory authority to complain if they have concerns about how their data is handled. You may also have rights to certain information about how we have processed your data (for instance, under Brazil’s LGPD you can ask for information on the public and private entities with which we have shared your data). We aim to be transparent and responsive to all such inquiries.
- California residents: in addition to the rights above, California law (CCPA/CPRA) gives you the right to opt-out of the sale or sharing of your Personal information (as mentioned, Ideals does not sell personal data, but we still honor Do Not Sell requests), the right to not be subject to discriminatory treatment for exercising your privacy rights, and the right to limit the use of sensitive Personal information (although we do not use sensitive information for purposes that would trigger this right except as allowed by law). California residents can also designate an authorized agent to make requests on their behalf. We will need to verify any requests from you (or your agent) to ensure they are legitimate.
Exercising your rights: to exercise any of your applicable privacy rights, please contact us using the contact details provided in the Contact Us section below. Kindly specify which right you wish to exercise and provide enough information for us to verify your identity (for example, your name, contact information, and, if you are a job applicant, details of the position you applied for or the timeframe of your interactions with us). This verification step is necessary to ensure we protect your data and only disclose it to the proper person. We will respond to legitimate requests within the timeframe required by law (for example, within one month under GDPR, or under CCPA we strive to respond within 45 days). If we need more time or cannot fulfill your request (due to a legal exception), we will inform you of the reason and the extension period if applicable.
We will not charge you a fee for exercising your rights unless the request is manifestly unfounded or excessive. In such rare cases, we may either charge a reasonable fee or refuse the request, but we will explain our reasoning. Rest assured, we will not retaliate against or penalize you for exercising any of your privacy rights. Our services and opportunities will be available to you on an equal basis whether or not you choose to exercise rights under this Privacy Notice.
- Automated decision-making and profiling
Ideals may use automated systems and tools to assist in processing personal data, but we do not make any hiring decisions or other significant decisions about you solely based on automated decision-making without human involvement, unless it is required or permitted by law and we have your consent (where required). We want to be transparent about any automated processing we do:
- Use of AI and Automated Tools: we sometimes use technology, including artificial intelligence (AI) or other software, to help us analyze and evaluate information during the recruitment process and to improve our services. For example, we might use an AI-based application to analyze recorded interview responses or to assess certain skill-based tests in a standardized way. We might also use automated tools to scan resumes for keywords or match qualifications to job requirements as an initial screening aid.
